POD and document handoff

Keep completion evidence connected to the correct load.

A clean handoff preserves the accepted shipment reference, readable document details, delivery context, and any exception that still needs review.

Before sharing a POD

Confirm identity, readability, and context.

Available POD and related documents should support the accepted shipment record. A container number alone is not enough to establish that connection.

01

Connect the accepted shipment

Use the shipment or load reference for the accepted move. Add the container number and customer reference as supporting identifiers.

Check when available
  • Shipment / load reference
  • Container number
  • Customer reference
  • Move direction
02

Check document readability

Confirm that the available pages are legible and that signatures, dates, quantities, or exception notes are not cut off.

Check when available
  • Readable pages
  • Document type
  • Date / time
  • Signature or notation
03

Record the handoff context

Note the pickup and delivery context, who supplied the document, and when it became available for the agreed handoff.

Check when available
  • Pickup / delivery context
  • Document source
  • Availability time
  • Handoff party
04

Flag gaps without guessing

If a page, signature, date, or shipment reference is missing, identify the gap for follow-up instead of treating the document as complete.

Check when available
  • Missing page
  • Unreadable field
  • Reference mismatch
  • Required follow-up

Question about an existing shipment?

Send the shipment reference and document question.

Include the accepted shipment or load reference, document type, relevant date, and the exact page or detail that needs follow-up.
